Maintenance Manager (Full Time, Downtown Toronto) 

Reporting to the Director of Property Services, the Maintenance Manager is a member of the management team with the specific responsibility to manage maintenance operations to ensure the good physical condition of Ecuhome properties. The Maintenance Manager ensures that Ecuhome’s maintenance practices follow corporate policies and practices as well as relevant legislation and regulations.  The main areas of responsibility include… 

Staff Management & Development 

The Maintenance Manager holds direct supervisory responsibility of the Ecuhome maintenance staff team, and the completion of tasks that ensure the good physical condition of Ecuhome’s portfolio by executing routine, corrective and preventive maintenance programs.  They are responsible for managing the maintenance team and department, including day to day performance, regular performance reviews, orientation of new staff and identifying and recommending needed training to the Director of Property Services and Human Resources.   

Communications 

They will serve as the key communications link for maintenance issues within Ecuhome, and administer the work order and maintenance systems, keeping the Director of Property Services updated regarding day-to-day operations and working with the Director of Property Services to resolve complex property & maintenance issues, developing scheduled and preventive maintenance programs, and providing input on capital repair recommendations.   

Preventive and Corrective Maintenance 

Resolving maintenance issues as they arise by assessing and prioritizing work requests; managing workflow through the work order system; supervising maintenance staff in the completion of assigned tasks & documenting progress and outcomes; coordinating resolution of issues with management colleagues; managing the Emergency Maintenance System by scheduling emergency On Call/Stand By shifts of maintenance staff and acting as Ecuhome’s representative in after hours emergencies, as required.  The Maintenance Manager will also be responsible for ensuring that maintenance work is completed to Ecuhome standards, monitoring completion and quality of work, implementing the preventative and recurring maintenance plan and monitoring the effectiveness of programs and services, and maintaining an inventory of required maintenance materials, tools, and equipment including PPE. 

Health and Safety Leadership 

As a manager in our organization, the Maintenance Manager is responsible for ensuring maintenance staff comply with their obligations under the Occupational Health and Safety Act, Ecuhome’s Health and Safety policies and procedures, and other relevant legislation, that they have access to Safety Data Sheets and other important safety information required for their positions, and providing training on safety issues as required, including regular reviews of workplace practices.  The Maintenance Manager will be responsible for ensuring use of PPE by staff as required, making recommendations regarding improvements to health & safety in the workplace, and keeping the Director of Property Services informed of on-going health and safety activities, as well as reporting any incidents, accidents, or unsafe practices immediately to the Director of Property Services while completing the appropriate documentation. 

Legislative Compliance 

The Maintenance Manager is responsible for ensuring that the policies, procedures, and established practices of Ecuhome are followed by the maintenance team and is provided and documented, and that department logs and documents are maintained in a manner that demonstrates our due diligence with regulatory and property management standards.  They should have a working knowledge of relevant legislation for property owners, including Fire Protection & Prevention Act, Occupational Health & Safety Act, Residential Tenancies Act, Ontario Human Rights Code, Ontario Building Code, Technical Standard & Safety Act and City of Toronto regulations, and be responsible for ensuring that all site workers (including contractors) meet relevant regulations to ensure a safe work environment. 

Administration 

The Maintenance Manager is responsible for qualifying vendors and authorizing expenditures within signing authority and obtaining the necessary approval for expenditures and completing expenditure reports, entering purchase orders into Ecuhome’s NetSuite system, and purchasing as directed for operation of maintenance needs to Ecuhome standards. 

Qualified candidates will meet the following requirements…. 

  • Reliable vehicle (travel reimbursement provided) 
  • Minimum of 5 years of experience in property management of multi-unit residential buildings or related field including staff supervision 
  • Certificate or diploma in building or construction technologies from a recognized post-secondary institution or equivalent combination of education and experience 
  • Minimum 5 years managing a maintenance department including staff management and development 
  • Strong verbal communication skills 
  • Ability to interact responsibly and respectfully with individuals who face mental illness & addiction issues 
  • Experience and success in fostering a professional working environment and building trust with reporting staff, colleagues and tenants 
  • Flexibility to meet after hours requirements including emergency situations as required 
  • Experience overseeing the work of external contractors and maintaining productive relationships 
  • Ability to read blueprints, surveys, technical & mechanical drawings and construction/contract documents 
  • Working knowledge of relevant legislation for property owners, including Fire Protection & Prevention Act, Occupational Health & Safety Act, Residential Tenancies Act, Ontario Building Code, Technical Standard & Safety Act 
  • Working knowledge of preventive maintenance including HVAC, life safety and mechanical systems 
  • Ability to self-manage organizational planning, and uphold administrative responsibilities including proficiency in MS Word, Excel, Outlook 
  • Experience with an automated Work Order system required, such as NetSuite
