Role Overview

Reporting to Project Manager, Convening Project with PHAC (Public Health Agency of Canada), the Support Coordinator, Convening Project with PHAC will assist in planning and organizing events. They will be acting as the primary administrator to coordinate and support the execution and delivery of the Convening Project to support the federal government’s Nationwide Diabetes Framework as outlined in the mandated agreement with the Public Health Agency of Canada.

Contract Length: This role is a 12-month contract.

Location: A flexible work agreement policy in place allowing employees to work on a hybrid schedule, working remotely, and with the expectation of attending in person events when needed. Accepting applications across Canada, if candidates can meet the needs.

This role includes, but not limited to:

  • Collaborate cross-functionally with the relevant teams, stakeholders and key opinion leaders to ensure success of all elements of the 3 year project.
  • Update and maintain contact lists to include committee members, Key Opinion Leaders (KOL’s), and champions
  • Maintaining relationships with both Public and Private NGO’s, equity seeking and linguistic community leaders, as well as business leaders.
  • Maintain timely communication with internal and external stakeholders.
  • Solicit, leverage and engage KOL’s and participants to support and provide facilitation for all of the project roundtables and events.
  • Ensure that critical paths for events are current and on-track.
  • Organize and convene multi-sectoral table meetings as well as other meetings and roundtables plan to meet the goals of the project.
  • Support the Mission Teams as well as the Project Lead in developing the yearly workplan
  • Working with the Marketing & Communications team to promote the project through selective media portals for awareness and amplification.
  • Help in the development and publication of the yearly progress report, required to be submitted to PHAC on an annual basis.
  • Support the Project Lead in the compiling and disseminating research to multi-sectoral members and other important stakeholders.
  • Support the Project Lead in managing, tracking, and processing expenses and invoices using appropriate finances systems.
  • Other tasks as assigned

The ideal candidate possesses:

  • Post-secondary education, preferably in administration, business or project management.
  • You bring 2+ years of experience in non-profit administration and event coordination.
  • Relationship building skills to foster relationships with and energize volunteers and other convening program stakeholders.
  • An ability to attend some evening meetings and dedicate extra hours when required to ensure event success. Some travel within Canada may be required.
  • Strong written and verbal communication skills with proven success in managing large events, and comfort with making presentations and networking.
  • Ability and willingness to learn new concepts quickly and accurately
  • Superior computer skills and proficiency with MS Office.
  • Working capacity in French is an asset, though not a requirement.
