We are currently seeking a Payroll Supervisor to maintain the payroll and benefits function within the Finance Department. The Payroll Supervisor will ensure the accurate and timely processing of payroll, reporting and remitting functions in adherence to legislation, collective agreement, policies, and procedures of Homes First Society. They will also administer the group benefits and pension plan to maintain timely enrolments, updates, deductions, and remittances.
Job Responsibilities:
- Processing and reviewing bi-weekly payroll ensuring accurate calculation of wages, tax withholdings, and deductions are complete in a timely manner.
- Configure and maintain the payroll system to confirm it follows government regulations and collective bargaining agreement for unionized employees.
- Day to day supervision and support of the payroll team
- Ensure payment schedules and processing timelines are completed in accordance with the relevant collective agreements and financial institutions’ requirements.
- Identify and monitor process improvement initiatives and provide standards for payroll administrators to follow.
- Assess payroll processes, policies, procedures, and systems to enhance internal controls.
- Co-ordinates with team members and other departments as needed for the maintenance of individual payroll records, time entry, and compilation of periodic and special reports as needed.
- Assist with reviewing benefit and pension reporting, monthly account reconciliations, and journal entries.
- Collaborate with benefits providers and third-party plan sponsors to ensure accurate administration and timely distribution of benefits.
- Prepare statutory government reporting (ex. WSIB and EHT) and ensure compliance with the legislation.
- Assists with responses to general ledger inquiries and external audit.
- Review payroll accounting journal-entries and perform monthly account reconciliations.
- Resolves and responds to payroll processing questions and employee inquiries.
- Prepare updated reports of salaries and benefits and assist in preparation of yearly budget.
- Prepare for year-end processing and reconciliations, and issue tax statements to all employees.
- Maintains financial security by ensuring compliance with established procedures, internal accounting controls and policies.
- Maintains financial historical records by archiving accounting documents.
- Maintains both external and internal confidentiality.
- Provides support to the finance team during the month-end and year-end.
- Performs other ad-hoc duties and projects, as required.
Qualifications:
- Minimum of 3 years experience in full cycle Canadian payroll.
- PCP designation is required.
- Post-secondary education in accounting or related field or equivalent education and experience
- Advanced Microsoft Office proficiency (Excel, Word etc.)
- Proficiency in using payroll software Ceridian Dayforce
- Knowledge of relevant employment legislation, i.e., Payroll laws, ESA, OHSA, and its regulations, WSIB, and Human Rights for Canada,
- Experience in group benefits and pension plan administration and analysis.
- Experience working and communicating with people from diverse backgrounds.
- Strong attention to detail and excellent analytical and problem-solving skills.
- Excellent communication skills, both verbal and written
- Excellent interpersonal, conflict resolution and organization skills
- Demonstrated ability to work independently.
- Interpersonal skills and ability to work in a team.
- Exceptional organizational and time management skills.
- Other duties as required.
