VOLUNTEER COORDINATOR
Contract Position – Fall 2023-June 2024

POSITION OVERVIEW

The Mission to Seafarers Southern Ontario (MTSSO) is an independent not-for-profit Seafarers Welfare organization operating in the Ports of Oshawa, Toronto, Hamilton and Port Colborne. The Mission To Seafarers Southern Ontario is a place to call home for seafarers who visit our ports.
 
Reporting to the Staff and Volunteer Liaison to the Board, the Volunteer Coordinator will create a cohesive volunteer recruitment and onboarding process.  As Volunteer Coordinator, the role provides oversight, organization, guidance and training to volunteers.
 
This is a contract position that will be part-time consisting of an average of 22.5 hours weekly until January 2024 with the potential to become full-time through June 2024. Mobility to travel between all locations served and time flexibility is required to support mission volunteers.
 
POSITION RESPONSIBILITIES

General activities and functions include, but are not limited to:
 
Volunteer Coordination

  • Develop and implement recruitment plans, strategies, and marketing materials to attract a pool of committed volunteers
  • Create or update orientation materials and processes for onboarding of new volunteers
  • Review and update volunteer job descriptions
  • Develop a robust training program for new and existing volunteers
  • Develop a feedback survey, trend themes and provide analysis for continuous improvement
  • Recruit new volunteers, ensure appropriate Forms and Clearances are obtained
  • Provide Orientation, training and support to volunteers
  • Define volunteer support requirements
  • Implement and maintain an up-to-date volunteer database including volunteer files and records – keeping information updated and current (Clearance renewals, confidentiality agreements, policy signoffs etc.)
  • Provide report of program activities and data to project manager for reporting to grant funding organization
  • Identify continuous improvement opportunities and make recommendations to improve gaps.
  • Ensure volunteers receive regular feedback and guidance
  • Ensure compliance in Health and Safety.
  • Other duties as assigned

QUALIFICATIONS

  • Post-secondary education in related discipline: business, social services, volunteer management
  • A minimum of two (2) years working experience in a volunteer coordination capacity.
  • Direct experience with recruitment and candidate sourcing
  • Direct experience with creating and facilitating training programs, strong written skills
  • Excellent communication skills including public speaking
  • Ability to establish priorities, work independently, and proceed with objectives without supervision
  • Superior interpersonal skills and the ability to build trusting relationships quickly
  • Effective at problem solving and providing solutions
  • Highly organised, able to prioritize multiple tasks and deadlines and able to multi-task
  • Proficient computer skills with Microsoft Office products
  • Valid Driver’s License and confirmation of $1 M liability insurance with access to a reliable vehicle
  • Vulnerable Sector background check will be required upon acceptance
